Good payment collection comes from five habits: agree clear terms before you give credit, record every bill with a due date, remind early and politely, follow up on a fixed routine, and limit credit for shops that keep paying late. Chasing money after it is already 60 days old is the hardest and least effective way to do it.

For a wholesaler or distributor, late payments are not just a nuisance. Every rupee stuck with a retailer is a rupee you cannot use to buy stock, pay your own supplier or run your trucks. This guide lists practical steps you can start using this week.

Why payment collection gets delayed

Before fixing collection, understand why retailers pay late. Rarely is it ill intent. Usually it is one of these:

  • No clear due date. The retailer never knew when payment was expected.
  • Cash flow at the shop. A slow week, a festival purchase or a large stock buy.
  • Disagreement on the amount. A short delivery, a damaged item or a price difference that was never settled.
  • Forgetfulness. Many small shops manage dozens of suppliers from memory.
  • Because nothing happened last time. If late payment has no consequence, it becomes normal.

Notice how many of these are fixed by process, not by pressure.

Step 1: Fix the terms before the first order

Collection starts at onboarding. Agree and record:

  1. The payment term in days (for example, 15 days from delivery).
  2. Any grace days you will allow.
  3. The credit limit for the shop.
  4. What happens when the limit or the due date is crossed.

Our guides on setting a credit limit for retailers and retailer onboarding for distributors cover this stage in detail.

Step 2: Record everything the same day

A bill that is not recorded cannot be collected. Make it a rule that every credit delivery and every payment, whether cash, UPI or bank, is entered the same day. When both you and the retailer see the same khata, there is far less to argue about; the case for this is made in our guide to the udhaar khata app.

Step 3: Remind before the due date

A reminder is not an accusation. Think of it as a service to a busy shopkeeper.

  • A few days before the due date: a friendly heads-up.
  • On the due date: the amount and how to pay.
  • After the due date: a repeat every few days until it is settled.

Keep the tone polite and specific. Amount, invoice and due date. Our next article gives you ready-made payment reminder message templates you can adapt.

Step 4: Build a weekly follow-up routine

Collection works when it is scheduled. A simple weekly routine:

Day Task
Monday Review overdue accounts, oldest first
Tuesday–Wednesday Calls and visits for the largest or oldest dues
Thursday Confirm UPI and bank receipts against your statement
Friday Decide who needs credit restricted next week

Assign it to one person, whether it is the owner, an accountant or the salesman who visits the shop. Salesmen are often the best collectors because they are already in the shop; they can also record a payment the moment it is handed over.

Step 5: Make paying easy

The easier it is to pay, the faster you are paid. Offer more than one way: cash to the salesman, UPI, bank transfer. Share your UPI details clearly. Ask the retailer to send the UTR number after paying, because it makes matching the payment to the bill simple. For the matching step, read about UPI payment reconciliation.

Step 6: Use credit control, not just reminders

Reminders help the willing. For habitual late payers you need rules:

  • Lower the credit limit or shorten the payment term.
  • Do not accept new credit orders when the shop is over its limit.
  • Offer to continue on cash or UPI so the relationship continues.
  • Restore credit gradually once the shop has paid on time for a few cycles.

This is not about punishing anyone. It is about being fair to the many retailers who do pay on time.

Step 7: Resolve disputes quickly

A disputed bill is rarely paid. If the retailer says "maal kam aaya" or "kharab tha", settle it fast. Check the delivered quantity, issue an adjustment if the claim is right and ask for payment of the undisputed part. Delay in settling disputes becomes delay in payment.

Common collection mistakes

  • Waiting for the month-end. Dues age quietly.
  • Only chasing large amounts. Small overdue balances are an early warning sign.
  • Relying on memory. If the due dates are not recorded, the follow-up will not be consistent.
  • Mixing anger with reminders. A rude message gets delayed payment and a lost customer.
  • Unconfirmed payments. A payment you did not confirm today becomes a dispute next month.

How MaalMitra helps

MaalMitra builds the collection routine into the ordering and khata flow. It does not collect money itself; retailers pay you directly. What it gives you is clarity and structure:

  • Khata with dues and overdue status. For every retailer, see the outstanding amount, what is due and what is overdue, and by how many days.
  • Credit limits, terms and restriction. Set the limit, the payment days and grace days per retailer. Over-limit orders cannot go on credit, and you can restrict credit for a shop that keeps paying late, while it can still order and pay by cash, UPI or bank.
  • Reminder schedule. Choose to remind retailers a set number of days before the due date, on the due date, and every N days after it. These show as in-app and push notifications; MaalMitra does not send WhatsApp or SMS messages.
  • Payment recording. Retailers can record a payment and you confirm it. Wholesalers and salesmen can record payments, and you can allocate them to the oldest bills first or manually.
  • Bank and UPI statement matching. Upload a CSV, and MaalMitra matches pending payments by UTR or amount.
  • Dashboard and analytics. Collection rate and top and declining retailers help you see the pattern, not just the single account.

The bottom line

Payment collection is a process, not a personality trait. Clear terms, same-day records, early reminders, a weekly routine and sensible credit control will bring in more money than any amount of chasing. Start with the oldest dues this Monday, and work toward not having any.

Frequently asked questions

How can I improve payment collection from retailers?

Set clear terms before the first credit order, record every bill with a due date, remind politely before and after the due date, follow up on a fixed weekly routine and stop extending credit to shops that keep paying late.

When should I start following up on an overdue payment?

On the due date or the day after. A short, friendly reminder early is far easier than a difficult call after 60 days. Many wholesalers also remind a few days before the due date.

Should I stop supplying a retailer who does not pay?

You can restrict credit while still supplying against cash or UPI payment. This protects you without ending the relationship, and gives the retailer a clear way back to credit.

Does MaalMitra collect money from retailers?

No. Retailers pay you directly by cash, UPI or bank. MaalMitra records payments, shows dues and overdue status, and shows in-app reminders to retailers; it does not move the money.
