UPI payment reconciliation means matching every credit in your bank or UPI statement to the retailer who sent it and the bills it clears, so that what your khata says and what your bank shows are the same. The most dependable key for matching is the UTR number; amount and date are the fallback. Done weekly, it takes minutes. Left for month-end, it becomes a puzzle.

For a wholesaler, UPI is a blessing and a headache. Money arrives instantly, but the bank statement only says something like "UPI/4123.../SHARMA STORE". Meanwhile, the retailer messages "payment kar diya". Reconciliation connects the two.

Why UPI payment reconciliation matters

  • Your khata stays correct. Unrecorded payments make good retailers look overdue and invite awkward calls.
  • No double counting. A payment recorded twice, once by the retailer's message and once from the statement, overstates what you have received.
  • Fewer disputes. You can show a UTR and a date when there is a disagreement.
  • Better cash planning. You know what has actually come in.
  • Cleaner books for your CA. Matched entries save time at filing.

The key fields in a statement

Field Use
Date Narrow down candidates
Amount Match to a bill or a dues balance
UTR or reference number The exact link between a credit and a reported payment
Narration or remitter name Clue to which retailer paid
Balance Cross-check the day's total

Step-by-step: how to reconcile UPI payments

  1. Download the statement. Get a CSV or Excel statement for the period from your bank, or the UPI app's transaction export.
  2. List pending payments. Take all payments retailers reported or your salesmen noted that are not yet confirmed.
  3. Match by UTR. If a retailer or salesman shared the UTR, find it in the statement. Exact match, confirm.
  4. Match the rest by amount and date. For payments without a UTR, look for a credit with the same amount within a day or two, and a remitter name that fits the retailer.
  5. Handle multiple bills. A retailer may pay one lump sum for several invoices. Allocate it to the oldest bills first or as the retailer instructs and record that allocation.
  6. Flag the unmatched. Credits you cannot identify stay as unallocated until someone claims them. Ask the retailer for a screenshot.
  7. Record the confirmation. Mark matched payments as received so the khata updates.
  8. Close the loop. Reconcile the total of matched plus unmatched credits with the statement's total for the period.

Common mismatches and how to handle them

  • Amount differs slightly. The retailer may have deducted a return, a scheme discount or a rounding. Check the bill, then record an adjustment if it is agreed.
  • Paid from a different name. A relative's or an employee's UPI ID. Ask the retailer to confirm.
  • Two payments, same amount. Use the UTR to tell them apart.
  • Payment in the statement but not reported. Ask who it is from; do not apply it to an account by guesswork.
  • Reported but not in the statement. It may be pending, failed or sent to a different account. Do not confirm until it appears.
  • Reversed or failed transfer. If the retailer's money bounced back, the payment should not be recorded as received.

A weekly routine that works

When Task
Every day Note UTRs when payments are reported, and record them
Friday Download the week's statement and reconcile
Month-end Reconcile the full month, clear unallocated credits

Keeping it short and regular stops a backlog from forming. It also pairs naturally with your weekly dues review; see our payment collection tips and the guide to reading an ageing report.

A short worked example

Suppose Gupta Kirana owes you ₹14,200 across two invoices: ₹8,000 due 5 November and ₹6,200 due 12 November. On 9 November the owner messages that he has paid ₹8,000 and shares UTR ending 4471. On Friday you open the week's statement and search for that reference. You find a credit of ₹8,000 on 9 November from "GUPTA K" with the same UTR. It matches, so you confirm the payment and allocate it to the 5 November invoice. The same statement also shows a ₹3,500 credit from an unknown name with no report from any retailer. You do not apply it anywhere. You ask your salesmen and retailers, and when Verma Store replies that his nephew paid from his own phone, you attach it to the right account. Two minutes of checking prevented a wrong entry.

Safety and privacy notes

A bank statement contains sensitive information. Download it only on a trusted device, do not share it on chat groups and delete downloaded copies you no longer need. Do not share your OTP or banking password with anyone, including anyone claiming to be an app helper. Retailers' details should be used only for matching their payments.

How MaalMitra helps

MaalMitra includes statement reconciliation inside the wholesaler's khata. Here is what it does, and what it does not:

  • Upload a CSV. Download a bank or UPI statement as a CSV and upload it under the khata's reconcile option. The file is read in your browser; MaalMitra does not connect to your bank account.
  • Automatic matching. It matches pending payments by UTR or amount, and recognises retailers by mobile number or name.
  • You stay in control. You review the suggested matches and confirm them, and payments retailers record are confirmed by you.
  • Allocation to bills. Record payments and allocate them to the oldest bills first (FIFO) or manually.
  • Shared khata. Once a payment is confirmed, the retailer's dues and yours show the same balance.
  • Append-only ledger. Mistakes are fixed with adjustment entries, so your history stays honest.

Retailers use MaalMitra free; wholesalers have a 30-day free trial, then a paid plan. If you are new to the khata itself, start with our guide to the udhaar khata app.

The bottom line

UPI reconciliation is a habit: capture the UTR, match weekly, treat unmatched credits as questions, not guesses, and let the ledger show the truth. The sooner you reconcile, the sooner your retailers' dues are correct.

Frequently asked questions

What is UPI payment reconciliation?

It is the process of matching the credits in your bank or UPI statement with the payments retailers say they have made, and with the invoices they are meant to clear, so that your khata and your bank agree.

What is a UTR number and why does it matter?

UTR (unique transaction reference) is the reference number of a bank or UPI transfer. It is the most reliable way to match a specific credit in your statement to a payment a retailer reports.

What if a payment has no name or the wrong amount?

Match by UTR first, then by amount and date, and ask the retailer for a screenshot. Unmatched credits should be held as unallocated until you can confirm who sent them. Do not guess.

Does MaalMitra connect to my bank account?

No. You download a bank or UPI statement as a CSV and upload it. The file is read in your browser, and MaalMitra matches pending payments by UTR or amount and recognises retailers by mobile number or name. You review the matches and confirm.
