An udhaar khata app is a digital credit register: every order given on credit and every payment received is recorded against the right shop, the balance updates by itself, and both the retailer and the wholesaler see the same numbers. If you run a kirana store, a wholesale counter or a distribution business, it replaces the thick bahi khata, the scraps of paper and the "bhaiya, kitna baaki hai?" phone calls with one clear record.

Credit is how the Indian supply chain runs. The distributor gives the wholesaler time to pay, the wholesaler gives the kirana shop 15 or 30 days, and the shop gives regular customers udhaar till salary day. The trouble is not the credit itself. It is keeping track of it.

Why the paper udhaar register stops working

The paper register is cheap and familiar, and for a shop with ten credit customers it is often enough. As the business grows, the same problems show up again and again:

  • Entries get missed. A busy morning, a phone order, a delivery boy who collects cash on the way back. Something does not get written down.
  • Only one side has the record. The wholesaler's register says ₹18,400 is due. The retailer's notebook says ₹16,900. Nobody can prove who is right.
  • Due dates live in someone's head. Without a clear due date per bill, "overdue" is a feeling, not a fact.
  • Collection depends on memory. The owner has to remember whom to call, how much to ask for and how old the dues are.
  • The register can be lost. Water, fire or a misplaced book can wipe out months of records.

None of this means your staff are careless. Paper is simply the wrong tool once you have dozens of accounts and daily orders.

What a good udhaar khata app should do

Not every digital khata is built for B2B credit between a shop and its supplier. Before you choose one, check that it covers these basics.

One shared ledger, not two private ones

The biggest win comes when the wholesaler and the retailer look at the same khata. When an order is delivered on credit, the entry appears for both. When the retailer pays, the payment is recorded against that balance. Shared records end most disputes before they start.

Dues, due dates and overdue status

Every credit entry should carry a due date based on the agreed payment terms. The app should show at a glance:

What you see Why it matters
Total outstanding How much the shop owes in all
Amount due now What should be collected this week
Overdue amount and days Which accounts need a call today
Available credit How much more can be given safely

An honest history

A khata is only trustworthy if old entries cannot be quietly changed. Look for an append-only ledger, where corrections are made with a new adjustment entry instead of rubbing out the old one.

Payments that both sides confirm

Retailers often pay by UPI or bank transfer and then message the wholesaler. A good system lets the retailer record the payment and the wholesaler confirm it once the money is actually received, so nothing is counted twice or missed.

Reminders on a schedule

Asking for money is awkward. A reminder that goes out on a fixed schedule (a few days before the due date, on the due date, and every few days after it is overdue) keeps collection polite and consistent.

How to move from paper to an udhaar khata app

Switching does not need a big project. Most shops can do it in a week.

  1. Pick a cut-off date. For example, the 1st of next month. Everything before stays in the old register; everything after goes into the app.
  2. Enter opening balances. For each shop or supplier, add one opening entry with the balance as on the cut-off date. Agree the figure with the other side before you enter it.
  3. Set credit terms per shop. Decide the payment terms (say 15 days), any grace days and a credit limit for each retailer. Our guide on setting a credit limit for retailers explains how to pick sensible numbers.
  4. Record every new credit order in the app. If orders also come through the app, this happens automatically.
  5. Record payments the same day. Cash, UPI or bank, the same day, every time.
  6. Review overdue accounts weekly. Ten minutes every Monday is enough to know where you stand.

How MaalMitra helps

MaalMitra is a B2B ordering and khata app for kirana retailers and the wholesalers and distributors they already buy from. The khata is not a separate tool; it is built into the ordering flow.

  • Khata with dues and overdue status. Each retailer–wholesaler pair has its own credit ledger showing the outstanding amount, what is due, what is overdue and by how many days.
  • Credit limits and terms per retailer. The wholesaler sets whether credit is allowed, the credit limit, the payment terms in days and grace days, and can restrict credit for a shop that keeps paying late. A restricted shop can still order and pay by cash, UPI or bank.
  • Orders feed the khata automatically. When a credit order is delivered, the entry is posted for the quantities actually delivered, so partial deliveries do not inflate the balance.
  • Payment recording with confirmation. A retailer can record a payment, and the wholesaler confirms it. Wholesalers can also record payments themselves and allocate them to the oldest bills first (FIFO) or manually.
  • Reconciliation from your bank statement. Upload a bank or UPI statement as CSV, and MaalMitra matches pending payments by UTR or amount and recognises retailers by mobile number or name.
  • Reminder schedule. Choose to remind retailers a set number of days before the due date, on the due date, and every N days after it becomes overdue.
  • Append-only records and audit logs. Ledger entries are never overwritten, and important changes are logged.

Because orders, deliveries and payments live in one place, the khata is a by-product of daily work rather than an extra job. If you are new to ordering online, read how to order from your wholesaler online to see how the two fit together.

Common mistakes to avoid

  • Running paper and app side by side for months. Pick a cut-off and stick to it. Two records means two answers.
  • Giving credit without terms. "Pay when you can" is not a term. Even 30 days is better than nothing.
  • Not confirming payments. Unconfirmed payments create the same confusion as unrecorded ones.
  • Ignoring small overdue amounts. A ₹2,000 balance that is 60 days old tells you more about a shop than a ₹20,000 balance that is 5 days old.

The bottom line

An udhaar khata app does not change how you give credit. It changes how clearly you can see it. When both sides see the same balance, the same due dates and the same payments, collection becomes a routine instead of an argument, and you can give credit to good customers with more confidence.

Frequently asked questions

What is an udhaar khata app?

It is a digital version of the credit register (bahi khata) that shops and wholesalers keep. Every order on credit and every payment is recorded as an entry, so both sides can see the running balance, what is due and what is overdue.

Can my retailer see the same khata that I see?

In MaalMitra, yes. The khata is shared between a retailer and each wholesaler they are connected to, so the retailer sees the same dues and payments the wholesaler sees, which avoids end-of-month arguments.

What happens if a payment entry is wrong?

MaalMitra keeps the ledger append-only: entries are not silently edited or deleted. A mistake is corrected with a new entry, so the history always shows what happened and when.

Is MaalMitra free to use?

For retailers, yes: kirana shops use MaalMitra free. Wholesalers and distributors start with a 30-day free trial and then continue on a paid subscription plan. Either way, you sign up with your mobile number and OTP.
